Custom Sofa Guide: Dimensions, Fabrics and a Clear Quote Request

Prepare a custom sofa enquiry with the dimensions, upholstery references and item schedule a supplier needs. A practical checklist for interior designers, furniture importers and project buyers.

To request an accurate custom sofa quotation, send a model reference, dimensioned layout, upholstery requirements, quantity and delivery location. Separate the features you need from the details still open for discussion, and ask the supplier to confirm which changes are possible for the selected model. This gives interior designers, furniture importers and project buyers a clear basis for comparing proposals.

1. Start with a model and define what needs to change

A request for a custom made sofa should identify the starting design and the requested changes. A photograph communicates appearance, but it does not specify the dimensions, upholstery or construction you expect.

For each item, state whether you want a size adjustment, a different upholstery option, a change to the module arrangement or a combination of these. Ask for confirmation against that exact model rather than assuming every option can be combined.

Pofung Furniture's catalogue lists the Tufty Sofa as a fabric-upholstered modular design, made to order with sizes available on request. The Freeman Sofa is a modular sectional listed with fabric and leather materials. Both entries describe customisation availability; the permitted dimensions, module combinations and upholstery selections for your order still need confirmation.

2. Specify dimensions beyond the overall width

Use one unit throughout the enquiry, such as millimetres. Include a marked floor plan and distinguish the space available in the room from the finished sofa dimensions you are requesting.

  • Overall dimensions: width, depth and height, including projecting arms or an extended chaise.

  • Seating dimensions: requested seat height, usable seat depth and back height.

  • Module layout: individual section dimensions, number of modules and a drawing showing how they join.

  • Orientation: label left and right on the drawing and state the viewing direction.

  • Room layout: show doors, circulation routes and adjacent furniture so the proposed configuration can be reviewed.

Also provide delivery access measurements: door openings, lift openings and internal dimensions, stair turns and any restricted corridors. Ask for the largest packed component dimensions before approving the order. A sofa fitting the room does not establish that its packages can reach it.

3. Turn fabric preferences into an upholstery specification

Descriptions such as light beige or soft textured fabric leave room for interpretation. Identify a fabric collection and colour code where available, or send a reference and request a physical swatch for approval.

  • State the intended use: private residence, showroom, hotel guest room or shared lounge.

  • List the colour, texture and material preferences separately.

  • Ask which upholstery options are available for the selected sofa.

  • Request cleaning instructions and any performance information needed for the intended use.

  • Specify whether seams, piping and stitching should follow the reference design or require review.

If a project has a particular testing requirement, name it in the enquiry and request supporting documentation for the proposed upholstery and finished configuration. Do not treat a catalogue image or a material description as evidence of tested performance.

4. Put the project into a clear item schedule

For a multi-room order, give each sofa configuration a unique item code. Keep quantity, layout and upholstery against that code so similar-looking items do not become mixed up during quoting.

The following is an illustrative enquiry format, not a specification for an existing Pofung model:

Item S-01: 2 sofas for a residential lounge. Requested overall size: 2,800 W × 1,000 D × 750 H mm. Starting model: attach catalogue reference. Upholstery: warm grey fabric, swatch approval required. Seat dimensions and construction feasibility: supplier to confirm. Delivery: provide city, postcode and access measurements. Please quote with packing dimensions and production timing.

Mark dimensions as requested until the supplier confirms them. If several rooms use different fabrics, create separate item codes even when the starting sofa design is the same.

5. Ask for a quotation you can compare

Send the same item schedule to each supplier and request a written response against it. A useful quotation should identify:

  • The model, approved dimensions, module layout and upholstery reference.

  • Unit price, quantity, currency and the delivery basis used.

  • Any separate sample, customisation or packing charges.

  • Minimum order requirements for the selected configuration.

  • Production timing, its starting conditions and shipment timing separately.

  • Packing method, package count, packed dimensions and weight.

  • Payment terms and the procedure for reporting delivery damage or product issues.

The Tufty and Freeman catalogue entries each list a minimum order of one piece. Confirm that this applies to your requested configuration and upholstery before ordering. For project orders, ask for a schedule based on the complete item list rather than treating an indicative production period as the arrival date.

6. Approve the details before production

Ask for an order confirmation that brings the final specifications together. Check it against the quotation, drawing and upholstery reference before approval.

  1. Confirm the latest drawing revision, dimensions and module orientation.

  2. Approve the upholstery reference and any visible finish details.

  3. Resolve outstanding questions about comfort, samples and permitted dimensional variation.

  4. Record agreed packing, timing and delivery arrangements.

  5. Keep later changes in writing and ask whether they affect price or timing.
